Position Overview:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Managing Partner. The ideal candidate will serve as a strategic partner, providing comprehensive administrative and project management support while ensuring the smooth operation of the executive’s office. This role requires someone who is comfortable working in a fast-paced environment and has the ability to manage multiple priorities with a high degree of professionalism.

Key Responsibilities:

  • Administrative Support:
  • Manage and maintain the Managing Partner’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Handle all correspondence, including emails, phone calls, and mail, ensuring timely and accurate communication.
  • Prepare and edit documents, presentations, and reports for internal and external meetings.
  • Coordinate logistics for meetings, including conference room booking, catering, and preparation of materials.
  • Inbox management and business writing to assist with executive communications.
  • Project & CRM Management:
  • Assist in project management, ensuring timely completion of tasks and alignment with business goals.
  • Oversee CRM management, including updating and maintaining contact databases.
  • Support e-commerce management and HR administration tasks, as required.
  • Bookkeeping and financial record management to ensure accuracy and compliance.
  • Lead generation and customer support for sales initiatives.
  • Event & Web Research Management:
  • Coordinate and manage events, from planning to execution, ensuring alignment with the firm’s objectives.
  • Conduct web research for strategic initiatives, investment opportunities, and competitive analysis.
  • Develop and manage travel itineraries for business trips and events.
  • Digital Marketing & Content Support:
  • Provide support in market research, content marketing, and digital PR outreach.
  • Collaborate on graphic design projects, including logo, brochure, and infographic creation.
  • Assist with email campaigns, social media content creation, and scheduling.
  • Manage social media analytics tracking and reporting.
  • IT and Website Management:
  • Oversee website creation and maintenance, including updates and configuration.
  • Assist with CRM setup and IT-related tasks as needed.
  • Relationship Management:
  • Serve as a liaison between the Managing Partner and internal/external stakeholders, including investors, portfolio companies, advisors, and industry partners.
  • Maintain and update contact databases and manage the firm’s CRM system.
  • Coordinate and assist with organizing events, conferences, and networking opportunities.
  • Confidentiality & Discretion:
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Maintain a high level of integrity and professionalism in all interactions.
  • Office Management:
  • Oversee the day-to-day operations of the executive’s office, including ordering supplies and managing office services.
  • Provide support to other members of the executive team as needed.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, Marketing, or a related field preferred.
  • 5+ years of experience as an Executive Assistant, preferably in the financial services, private equity, or venture capital sectors.
  • Strong organizational and time management skills, with the ability to multitask and prioritize.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM systems.
  • Experience in digital marketing, social media management, and graphic design tools is a plus.
  • Ability to work independently, anticipate needs, and take initiative.
  • Strong problem-solving skills and adaptability in a fast-paced environment.
  • High level of discretion and the ability to handle confidential information.
  • Flexibility to work outside of regular business hours when needed.
